The Big Picture
Imagine running a business without a management tool. Your phone is ringing all day, you’re scribbling notes on the back of envelopes, your team is texting each other with last-minute changes, and you have no idea how many jobs are actually done this week.
That’s exactly the problem Rivvex was built to solve.
What Is Rivvex, Really?
Rivvex is the system that connects every part of your service business. It’s where:
- Your customers’ accounts are stored: phone numbers, addresses, and their history with you.
- Jobs are created and tracked, from the very first phone call to the final payment.
- Schedules are planned and organized so the right crews go to the right place at the right time.
- Quotes and invoices are sent and tracked so no bill is forgotten or lost.
- Your field team stays connected: they check in with their phones, upload photos, and gather signatures, even in places with poor cell service.
All of this lives in one place, instead of being scattered across notes, text threads, and paper.
A Simple Story to Get the Big Picture
Let’s trace a real situation from start to finish, the way it would actually happen:
The Call
Your phone rings. It’s John at Oakridge Property Management. His main building has a broken elevator motor and needs an emergency repair.
In the past, you might have written this in a notebook: “John, Oakridge, elevator broken, call back tomorrow.”
Now you open Rivvex on your phone or desktop and create a new job. John’s contact details, the location, and the issue are all stored safely.
Getting Information
You and John agree the first step is to send a technician to diagnose the motor. In Rivvex, you schedule that assessment and assign it to a qualified crew member.
The On-Site Assessment
The technician arrives, inspects the motor, takes a photo, and writes up a detailed report on his mobile device. He estimates the repair will cost $1,200 and the new motor will arrive in 3 days.
All of this data goes back into Rivvex in real time.
The Quote
Back at the office, you see the technician’s findings. You click “Create Quote,” enter the $1,200 repair cost, and send the quote to John through Rivvex’s built-in messaging. John gets a professional notification with your company logo and branding.
John accepts the quote on his phone.
Scheduling the Work
Rivvex notifies you of the acceptance. You schedule the repair for Tuesday morning, assign the same technician, and the system sends a confirmation to John.
The Repair
On Tuesday, the technician does the work, updates the status as the work progresses, and completes the job in the system. He captures John’s signature on the device to confirm the repair was done.
The Invoice and Payment
The next day, you prepare an invoice in Rivvex and send it to John. The invoice is clean, professional, and includes all the work that was done.
John pays. The payment is recorded.
Done.
The job is complete, everything is documented, and you can reference this entire chain of events any time in the future.
This is the big picture of how Rivvex works. Every tool (contacts, schedules, quotes, invoices, the mobile app) is a piece of that story.
What Each Piece Does
The Dashboard This is your command center. It shows:
- Jobs that need attention today
- Messages from customers
- Pending quotes waiting for a response
- Upcoming scheduled work
- Unpaid invoices
The Customer Directory Think of this as a digital phone book. Every person and company you work with is listed here, and you can search by name, phone number, or city.
Each customer has a complete history of all the jobs they’ve had with you.
The Schedule This is where you plan. You can view the calendar by:
- Day: see each crew member’s tasks for 1 day
- Week: look at an entire week at once, useful for planning multiple jobs
- Month: get a high-level overview of what’s planned
From the schedule, you can assign jobs to crew members, set start times, and move things around when things change.
The Job Tracker Every job in your business lives here. You can filter by:
- Customer name
- Job type (repair, installation, assessment, etc.)
- Status (new, in progress, completed, on hold, cancelled)
- Location or city
The Quote & Invoice Builder This is where you create quotes and invoices that look professional. They can be sent by email from within the system. You also track when customers accept quotes and when invoices are paid.
The On-Site Review Tool When a crew member needs to visit a location to evaluate a job, they use this form on their mobile device. It captures the inspection findings, photos, and notes. The results flow back into the job record, making it easy to turn an inspection into a quote.
The Reporting Center At the end of a week, month, or quarter, you can run reports to see:
- How many jobs were completed
- Revenue generated
- Average time between quote acceptance and job completion
- Individual crew performance
You don’t need to use every feature to get value from Rivvex. Start with what you use most, and let it grow as you do.
The One Thing to Know
Every customer, job, and schedule in Rivvex is connected. When you update a job, the schedule reflects it. When a customer is created, they appear in the directory.
When a quote is sent, the dashboard notifies you when it’s opened and accepted.
This is what makes Rivvex more powerful than a spreadsheet or a notebook. It’s a connected system that keeps everything in sync.
