Learn how to manage the people who work with you.
Understanding Team Roles
Rivvex uses specific roles to control who can see and do what. Each person on your team gets one or more roles, and those roles determine what they can access.
Available Roles
Site Admin
- Full administrative access to the site
- Can change settings, manage team members, and configure integrations
- Best for: Business owners and operations managers
Site User
- Can view and manage jobs
- Best for: General team members who need to see job details and update progress
Dispatcher
- Can see, manage, and schedule all quotes and jobs
- Has access to the schedule calendar and job assignment tools
- Best for: Office coordinators who assign work to field teams
Timesheets
- Can view and manage time sheets for the site
- Best for: Office managers handling payroll and labor tracking
Invoice Create
- Can create invoices and see job costs
- Can’t submit invoices to customers
- Best for: Team members who prepare billing but don’t send it
Invoice Submit
- Can create, review, and submit invoices to customers
- Can see job costs
- Best for: Accountants or billing managers who send final invoices
Analytics
- Can view reports and analytics for the site
- Best for: Managers and owners who need business insights
Equipment
- Can manage equipment registry, maintenance, and issues
- Best for: Equipment managers or fleet coordinators
Combining Roles for Your Team
Each person can have multiple roles. Here are common combinations:

Adding New Team Members
- Go to Settings → Users
- Click the Invite button
- Enter the person’s email address
- Select the roles that match their responsibilities
- Click Send Invitation
The invitation email includes a link to create their account and join your site.
Mobile App for Field Teams
For people who work in the field, recommend they get the Rivvex mobile app:
- Available on iOS and Android
- Shows their assigned jobs for the day
- Lets them update status, clock in/out, and log expenses on the go
- Works even with spotty cell service
Removing or Deactivating Team Members
If someone leaves or needs access removed:
- Go to Settings → Users
- Find the person in the list
- Deactivate their account to remove access while keeping their history
Before deactivating, consider:
- Reassigning their active jobs to other team members
- Checking if they have any work-in-progress that needs attention
Best Practices
- Assign the minimum roles needed for each person’s responsibilities
- Periodically review who has access to what
- Train new team members before giving them full access
- Use the mobile app to keep field teams connected
