Reports & Analytics

Rivvex collects data from every job, every invoice, every timesheet, and every customer interaction. The Reports section turns that data into insights you can use to run your business better.

Required role: Analytics (or Site Admin).

Accessing Reports

Go to Reports in the left sidebar. You’ll see 4 main report categories and a timeframe selector at the top.

Timeframe Selector

Every report can be filtered by time period:

  • Last 30 days: A snapshot of the recent month
  • Last 90 days: A quarterly view
  • Last 365 days: A full-year view
  • Custom range: Pick specific start and end dates

Choose the timeframe that matches your question. Looking at seasonal trends? Use 365 days. Checking last month’s performance? Use 30 days.

Business Operations Reports

These reports answer the question: How is the business doing?

Amount Invoiced by Job Type

See how much revenue each type of work generates. This helps you understand which services are your biggest earners.

Use it to: Decide which services to promote, which to phase out, and where to invest.

Total Amount Invoiced

The total dollar amount of invoices sent during the selected period. This is your top-line revenue number.

Change from Quote

Compares the quoted amount to the final invoiced amount across all jobs. Are you consistently invoicing more or less than you quote?

Use it to: Improve estimating accuracy. If you’re always invoicing 15% more than you quote, your estimates might be too low.

Quote Conversion Rate

What percentage of quotes sent are accepted by customers?

Use it to: Evaluate your pricing strategy and sales process. A low conversion rate might mean prices are too high or follow-up is too slow.

New Jobs and Completed Jobs

How many jobs were created and how many were completed during the period.

Use it to: Understand your pipeline. If new jobs consistently outpace completions, you may need more capacity.

Employee Reports

These reports answer the question: How is the team performing?

Amount Invoiced by Employee

How much revenue each team member is associated with (based on job assignments).

Use it to: Identify top performers and understand workload distribution.

Time on Job per Employee

How many hours each person spent on jobs during the period.

Use it to: Track productivity and identify potential overtime issues.

Amount Invoiced per Hour

Revenue divided by hours worked, a measure of efficiency.

Use it to: Compare efficiency across team members and identify training opportunities.

Jobs Completed on Time

What percentage of each person’s jobs were completed by the scheduled date?

Use it to: Identify scheduling accuracy issues. If a crew member is consistently late, the estimates for their jobs might be too tight.

Job Time Variance from Estimate

How much actual job time differs from the estimated time.

Use it to: Improve future estimates. If a specific type of job consistently takes 30% longer than estimated, adjust your templates.

Customer Reports

These reports answer the question: Who are our best customers?

Top Customers by Amount Invoiced

A ranked list of customers by total revenue during the period.

Use it to: Identify your most valuable accounts. These customers deserve priority attention and possibly special terms.

New vs. Returning Customers

How many of your customers during this period are new versus repeat business?

Use it to: Understand customer retention. A healthy business has a mix of new and returning customers.

Average Jobs per Customer

How many jobs does each customer typically have during the period?

Use it to: Spot opportunities for recurring service contracts with high-frequency customers.

Customer Count

Total number of active customers during the period.

Location Tracking

View location history for your field team. This shows where crew members were throughout the day based on GPS data from the mobile app.

Use it to: Verify job site visits, optimize routes, and resolve disputes about whether work was performed at a location.

Tips for Using Reports

  • Check weekly, not just monthly. A quick look at the Business Operations dashboard every Monday helps you catch trends early.
  • Compare periods. Look at this month versus last month, or this quarter versus the same quarter last year. Trends matter more than single numbers.
  • Share with your team. Employee performance reports can be a positive tool when shared constructively, celebrating wins and identifying where the team needs support.
  • Use reports to set goals. “Increase quote conversion rate from 65% to 75%” is a concrete, measurable goal that Reports can track.
  • Combine with expenses. Reports show revenue, but pair them with expense data to understand profitability.
